How social media tools charge, and how to estimate your cost

Per channel, per user or per workspace: how each pricing model works, what makes the bill grow, and how to work out what a tool will really cost your team.

Social media management tools charge in one of three ways: per connected channel, per user (or seat), or per workspace with limits on channels and users. The model matters more than the headline price, because it decides what makes your bill grow: adding accounts, adding teammates, or outgrowing a plan's limits.

The three pricing models

Per channel

You pay for each social account you connect. A Facebook Page, an Instagram account and a LinkedIn page are three channels. Some tools in this group offer a small free plan.

  • Grows with: every account you connect.
  • Suits: one person or a small team with only a few accounts.
  • Watch for: plans that also limit users, so a second person forces a more expensive plan for every channel.

Per user (per seat)

You pay for each person who logs in. Channel limits are usually generous, or tied to the plan level.

  • Grows with: every teammate you add, including part-time helpers and people who only need to look.
  • Suits: teams that need features built for many people working at once, such as a shared inbox, message routing and listening.
  • Watch for: the cost of seats for people who only review or approve, and plan levels that cap the number of accounts.

Per workspace (flat)

You pay one price for a workspace, and the plan sets how many channels and team members it includes.

  • Grows with: stepping up to a bigger plan when you pass a limit, or adding another workspace (for example, one per client).
  • Suits: small and growing teams who want a predictable bill.
  • Watch for: the user limit on lower plans, and whether an agency needs a separate workspace, and subscription, for each client.

A worked example

Take a team of three people managing five social accounts, paying annually. With the prices we verified in October 2026:

Change the team and the order changes. One person with three accounts pays nothing on Buffer's free plan. One person with 25 accounts pays $125 on Buffer Essentials (25 × $5) and $79 on Orbin Business. The pricing calculator runs these numbers for any team size.

These tools also do different jobs. The per-user tools in the table include an inbox and monitoring that the cheaper ones do not, so a lower price is only a saving if you do not need those features.

How to estimate what you will pay

  1. Count your channels. List every account you will connect, network by network. Include the accounts you plan to add this year.
  2. Count your people. Include everyone who needs to log in: writers, reviewers, a manager who approves, a client who wants to look.
  3. List what you need, not what is nice to have. Scheduling and a calendar? AI writing? A shared inbox for messages? Social listening? Approvals? Each one narrows the list of tools and plans.
  4. Find the cheapest plan that fits on each tool. Check the channel limit, the user limit and the features against your lists. The cheapest plan that technically fits is often not the one listed first.
  5. Price it for next year too. Add the accounts and people you expect to add, and see which model grows the least for you.
  6. Compare annual and monthly billing. Most tools discount annual billing. Paying monthly for the first few months, then switching, keeps you flexible while you test.

Questions to ask before you buy

  • Does the user limit include people who only review or view?
  • Is there a limit on scheduled posts per month or per channel?
  • Are AI features unlimited, or do they use credits?
  • What happens if you go over a limit: are you blocked, or upgraded?
  • Is there a free trial, and does it need a card?
  • Can you change plans mid-year, and how is the difference charged?
